Privacy Policy
This explains what the Discord bots Majordomo, Muster and Smuggler and this website store about you, why, and what you can do about it. We only keep what the features need. We don't sell data, show ads, or use analytics or tracking.
What is stored
Your Discord account, as the bots see it. Your Discord user id, and where a feature needs it your name and avatar as shown in the server. Discord user ids are how every record below is linked to you.
Muster (events). The events created in a server (name, date, time, roles and gear notes), who created each one, and which role each person signed up for.
Smuggler (loot splits). For each split you're in: who is in it, your share, whether you've posted your loot screenshot, and buyout details if the loot was bought out. The bot notes that you posted a screenshot; it doesn't keep a copy of the image. It also keeps your lifetime loot total for the leaderboard, and a history of closed splits and what each player got.
Majordomo (server management). Applications and tickets you open: your answers, links to files you attach, and each case's status, who handled it and when. Also: verification and welcome records, self-roles you've picked, energy-tracker records (your in-game name if you linked it, and energy movements), and the server's settings.
Messages. The bots read messages only where a feature needs it. For example, Smuggler looks at posts in its loot-split threads for screenshots. Text that the bots will later post, like event titles, is checked against a word filter when it's saved. Messages themselves aren't stored beyond what the feature records.
This website. When you log in with Discord, the site gets your user id, username, display name and avatar, and the list of your servers with your permissions there. It uses these to work out which servers you manage: the dashboard is only for the site's admin and the people the admin picks. It stores a login session (one cookie, needed to keep you logged in, for up to 30 days) and the access token Discord gives it, kept on the server. It looks up your roles in a server through the bots each time, and doesn't keep them. Changes made on the site are logged with who made them.
Who can see it
- The members of the same server see what the bots post there: events, sign-ups, splits and leaderboards.
- On the site, the dashboard is only for a server's managers (the site's admin and the people the admin picks). They see that server's events, loot splits, counts of open applications and tickets, and the bots' settings.
- The Backroom is invite only. For each session it keeps who was let in, by whom and when, the invites made (never the codes themselves, only a scrambled check of them), and each player's chips: buy-ins and cash-outs, and which host took or paid the silver in-game. The site never holds or moves silver itself. This is kept for 30 days after the session closes, except chips still owed to someone, which stay until a host marks them paid. The chat is deleted as soon as the session closes.
- The front page and the killboard are public. They show public Albion Online information about the guild, taken from the game's own public API: stats, the gold price, and kills and deaths with the gear involved.
- The bot owner can see the stored data to run and fix the bots.
- Data is not shared with anyone else, except Discord itself, which the bots and the site run on.
Where and for how long
The data is stored on a private server run by the bot owner. Records are kept while the bots are in your server and the feature is in use; a server's admins can reset things like loot totals. Login sessions end after 30 days, or when you log out.
Your choices
- You can log out at any time, and remove the site's access in Discord under User Settings → Authorized Apps.
- You can ask for a copy of what's stored about you, or ask for it to be deleted. Some records, such as a closed split, also belong to the other players in it. Removing them can change other people's totals, so these are handled case by case.
Age
The bots and the site follow Discord's minimum age. If you're too young to use Discord, don't use them.
Changes
If this policy changes, the date at the top changes too. Big changes will also be announced in the servers that use the bots.
